Effective corporate AI training starts with measuring who doesn't know what. This survey template lets you measure in 10–15 minutes how your employees use AI tools, their skills, their risk awareness and their training expectations. The approach follows the steps in our article on how to plan corporate AI training.

How to use it

  1. Adapt the questions: edit the list of units and tool names for your organisation.
  2. Copy it into your survey tool: paste the questions and options into the form tool you use. We recommend running it anonymously so you don't collect personal data.
  3. Explain the purpose: make clear it is not a test but a way to design training around real needs.
  4. Group the results: analyse answers by unit and role level.
  5. Repeat after training: ask the same questions 60–90 days later to measure change.

How to read the results

  • Section B (use): if many people use personal accounts, safe use and an acceptable use policy are the priority.
  • Section C (skills): groups mostly choosing the first two options suit awareness training; groups mostly choosing the third and fourth options suit department-specific hands-on training.
  • Section D (risk awareness): the share of people choosing risky options in the scenario questions is the most critical indicator from an information security point of view.
  • Section E (needs): topic and format preferences shape the programme's content and schedule.

Frequently Asked Questions

Why run a training needs analysis survey?

Giving the same training to different roles wastes time. The survey shows who uses which tools and how often, where skills are missing and how aware people are of the risks. Asking the same questions after training also lets you measure change.

Should the survey be named or anonymous?

We recommend anonymous surveys for more honest answers. Questions on unit and role level are enough to analyse results by group. Bear in mind that people may be identifiable in very small units.

Which tool should I use to run the survey?

Any form or survey tool your organisation uses. Simply copy the questions and options from the template into it.

How do I design a training programme from the results?

Group answers by unit and role level. Start with awareness training for groups with low basic knowledge and risk awareness, plan department-specific hands-on training for active users, and strategy-focused programmes for managers.
